1. Introduction and data controller

This Privacy Policy explains how Barka Driving School handles personal information when you visit our website, contact us, enquire about tuition or take driving lessons. It covers UK GDPR, the Data Protection Act 2018 and applicable Privacy and Electronic Communications Regulations (PECR), as amended.

This notice covers personal information handled by Barka Driving School. Our privacy contact is info@barkadrivingschool.co.uk or +44 7300 364607.

We collect learners from agreed locations. We do not operate a public walk-in office; please contact us to arrange lessons or request a postal contact for privacy correspondence.

2. What personal information we collect

Our current forms request contact details, your manual or automatic preference, pickup area or address, driving experience, availability and your message. Booking requests also request a preferred date and start time. Some older forms ask for date of birth, provisional-licence status, theory-test status and practical-test details.

Communications may contain questions, instructions and the information you choose to give us. Website services may handle IP addresses, browser/device details, page activity and security logs. Public reviews and learner photographs can identify their contributors.

Only provide information relevant to your enquiry. Do not put payment-card details, identity-document copies or detailed medical information into an ordinary message field. If a health condition or adjustment is relevant to safe tuition, contact us first so we can discuss a suitable way to handle it.

3. How we collect personal information

We receive information directly through our website forms, telephone calls, email, WhatsApp and discussions about lessons. Information is also generated when appointments are arranged and tuition takes place. Website tools can collect technical information as pages load or are used.

If somebody enquires on your behalf, they should tell you what they have shared. We will explain any additional source of information when required. External review platforms and services you choose to open have their own privacy notices.

4. Why we use personal information

  • Respond to questions and help you choose appropriate tuition.
  • Assess lesson requests, vehicle availability and pickup coverage.
  • Arrange lessons, contact you about arrangements and provide tuition.
  • Support learning, practical-test preparation and necessary administration.
  • Manage transaction records, complaints and legal obligations where applicable.
  • Operate, secure and assess the website and investigate misuse.
  • Publish learner material or send marketing only on an appropriate, separately established basis.

An enquiry is not an automatically confirmed lesson. We use the information needed for each purpose rather than treating every detail as necessary for every activity.

5. UK GDPR lawful bases

Reading or acknowledging this policy does not give blanket consent to everything we do. Different activities need different lawful bases.

PurposeRelevant basis
Discussing requested tuition and arranging or delivering lessonsSteps at your request before entering a contract; performance of the tuition contract.
General enquiries, proportionate administration, security and handling disputesLegitimate interests in running and protecting the school and responding to people, subject to necessity and a balance with their rights.
Records or disclosures required by tax or other applicable lawLegal obligation, where a specific duty applies.
Optional marketing and identifiable promotional learner materialConsent where required or adopted. Refusal must not prevent ordinary tuition.
Analytics and similar technologiesThe basis depends on the actual configuration. PECR consent or a properly assessed exception must also be considered separately.

You can object to processing based on legitimate interests. Consent, where used, can be withdrawn without affecting the lawfulness of earlier use.

6. Driving lesson enquiries and bookings

Our Contact Us form sends an enquiry. Our Book Driving Lessons page currently accepts a request for tuition, including preferred arrangements. We use these details to respond and check whether we can offer the requested lesson.

We need to check instructor and vehicle availability, pickup coverage and travel arrangements. An acknowledgement or request submission is not confirmation that a lesson is booked. Your instructor or Barka will confirm the agreed arrangements separately.

Contact details are needed to respond. Booking requests also need sufficient pickup and scheduling information to assess the request. Without those details, we may be unable to arrange tuition.

7. Google Calendar appointment scheduling

The current website booking form submits a lesson request. Your preferred time is checked alongside instructor availability, vehicle type and pickup arrangements before a lesson is confirmed.

If you are directed to a Google appointment schedule, review the information provided there before submitting your details. Google’s Privacy Policy explains its own services. Do not put medical details or other unnecessary sensitive information into appointment notes.

A calendar slot alone does not confirm pickup coverage or the availability of the correct vehicle. Contact Barka if you are unsure whether a lesson is confirmed.

8. Elementor contact and booking forms

Our website uses Elementor form components. The current Contact Us form marks full name, email, mobile number, lesson type, pickup area/postcode, message and privacy acknowledgement as required. Driving experience and preferred contact method are optional on that form.

The booking-request form requires name, email, mobile number, lesson type, pickup address and postcode, driving experience, preferred date/time and privacy acknowledgement. Additional notes are optional. Other older forms have different fields; check their labels before sending.

Current Contact Us and booking-request notifications are addressed to info@barkadrivingschool.co.uk. The booking form also has an email acknowledgement action. Some older published forms retain Gmail routing. Form and server services may also handle submission metadata for delivery and security.

A privacy acknowledgement is not a marketing subscription. An anti-spam honeypot is configured on the current contact and booking forms.

9. Student pickup addresses and contact details

We use your requested pickup location to assess coverage, plan the meeting point and communicate arrangements. Your instructor needs the agreed location and relevant contact details to deliver the lesson.

Please keep these details accurate and tell us if arrangements change. An area or postcode can be sufficient for an initial enquiry; the full agreed address may be needed to arrange collection. Please do not give another person’s address or number without an appropriate reason.

10. Payment information and transaction records

The current contact and booking-request forms do not request payment-card details and do not contain a payment-processing action. Do not send card numbers, security codes or banking passwords through these forms, email or WhatsApp.

Where tuition payments are made, associated records may include the payer’s name, amount, date, reference, lesson purchased and payment status. The exact records and recipients depend on the payment method actually used.

11. Driving lesson records and learner progress

Tuition may involve records of lessons taken, goals, feedback, skills practised and test preparation. Where these are recorded, they should support the learner’s tuition and be limited to relevant information. Learners can ask about information held concerning their progress.

Information supplied about adjustments or health must not be treated as ordinary administrative data. Please discuss what is needed and how it will be handled before sharing detailed information.

12. In-car recording, dashcams and CCTV

Ask Barka about any recording arrangements before your lesson. Where recording is used, clear information must be provided before it begins about the operator, camera views, audio, purposes, lawful basis, access, disclosure and retention.

Security or incident recording is separate from optional teaching or promotional filming. Promotional use needs separate consideration and permission. Booking tuition is not blanket permission to publish footage of a learner.

13. Learner photographs, testimonials and marketing permission

The website displays learner photographs and reviews. Identifiable success photographs, names, quotes and videos are personal information. Promotional participation should be optional and explained separately from arranging tuition.

Before using an identifiable learner’s material, Barka must establish and record appropriate permission covering the material and intended channels. Where consent is the basis, you can withdraw it by contacting us. We can address future use and copies under our control; independent reposts and platform copies may require separate requests.

A review posted on Google is subject to Google’s terms and privacy information. Republishing or embedding reviews on Barka’s website also needs to be considered separately.

14. Cookies, analytics and external website resources

Cookies and similar technologies can store or access information on your device. Some support requested functions or security; others measure usage or support advertising. They are not all automatically essential.

The website uses Google Analytics/tag scripts and two Google Tag Manager containers. Google Site Kit also has Analytics enabled. Installed review tools, embedded media, externally hosted scripts and map tiles may create additional connections, depending on the page used. A link to an external service is different from an embedded tool that loads while you browse.

Technologies requiring consent must not run before valid consent. A PECR exception can only be relied on where its conditions are actually met, including information and objection controls where required. A statistics purpose does not by itself establish an exception. Browser cookie settings do not replace the website’s own obligations.

15. WhatsApp, email and communication providers

You can contact us by telephone, email or the WhatsApp links on this website. WhatsApp communications use the Barka number +44 7300 364607. Our privacy contact email is info@barkadrivingschool.co.uk; the verified business mailbox uses Hostinger Mail.

Email and messaging services handle message content, contact details and technical delivery information. WhatsApp is a separate service with its own privacy information. Please use our business contact routes and share only what is needed. Some older forms also route messages through Gmail.

16. Service providers and sharing personal information

Information needed to deliver tuition may be made available to the instructor responsible for your lessons. Website hosting, email, security, backup, analytics and review services can also handle information for their respective functions. An installed plugin alone does not establish the provider’s full role or every data flow.

Information may need to be disclosed to professional advisers, insurers or public authorities where a relevant legal requirement, claim or properly assessed purpose applies. Information should be limited to what the recipient needs.

If a self-employed instructor receives a learner’s details, their role must be clear: they may act as a separate controller for their own tuition records rather than simply as Barka’s processor. The applicable privacy information should be provided when details are shared.

17. International data transfers

Services such as Google, WhatsApp and email/hosting suppliers may involve organisations or processing outside the UK. The locations and legal arrangements depend on the actual service accounts and contracts. Information is not necessarily processed exclusively within the UK.

For a restricted transfer, an applicable UK adequacy arrangement, appropriate safeguards or a lawful exception must be established. Where standard contractual safeguards are used, the required transfer assessment and any additional measures must also be considered. Contact us to ask about the safeguards relevant to your information.

18. Data security

We are responsible for selecting security appropriate to the information and risk, limiting access to people who need it and keeping systems maintained. The website uses HTTPS and has security and backup plugins installed. Their presence does not amount to a security certification or guarantee.

No internet transmission or storage system is risk-free. If you believe your information has been sent to the wrong person or exposed, contact us promptly using the details below. Any personal-data breach must be assessed and reported to the ICO and affected people where legally required.

19. How long personal information is kept

Retention depends on why information is needed, the services provided, relevant legal duties and any unresolved complaint or claim. We do not apply one blanket retention period to every type of record.

RecordCriteria used to determine retention
Enquiries that do not become lessonsThe time needed to answer the enquiry and complete relevant follow-up, taking account of the last contact.
Bookings, pickup details and progress recordsThe duration of tuition and the justified need to deal with later queries, complaints or legal claims.
Transaction and accounting recordsApplicable accounting and tax-record obligations, and any relevant legal hold.
Photos, testimonials and permission recordsThe publication purpose, applicable permission, withdrawal requests and the need to retain evidence of permission.
Security logs, analytics and cookiesThe security or measurement purpose, provider settings and applicable retention controls.
Recording, where usedThe stated recording purpose and the shortest justified routine period, with separate consideration of incident evidence.
Backups and opt-out recordsThe backup recovery/expiry cycle and the minimum information needed to respect a marketing objection.

A relevant legal hold may prevent deletion of particular records while a dispute or investigation is active. Records no longer needed should be deleted or effectively anonymised. Contact us to ask about the period relevant to your information.

20. Children and younger learners

Some learner drivers are under 18 and their information needs particular care. Information and explanations should be appropriate to their understanding. A parent or guardian enquiring or paying does not automatically have access to all of a young learner’s information.

We need an appropriate basis for tuition administration and must consider the learner’s rights, capacity and any relevant safeguarding duties. The UK’s online-service consent age is not a blanket rule that all under-18 tuition processing requires parental consent. Optional publicity involving younger learners needs particular care.

21. Your UK GDPR rights

Depending on the circumstances and lawful basis, you can ask for access to your personal information, correction of inaccurate information, erasure, restriction, or transfer of eligible information in a portable format. Some rights have legal limits; for example, required accounting records may not be immediately erasable.

Your right to object: you can object to processing based on legitimate interests, giving reasons linked to your situation. You can object to direct marketing at any time. Where consent is used, you can withdraw it at any time without affecting earlier lawful processing.

Contact info@barkadrivingschool.co.uk or call +44 7300 364607. We may need proportionate checks to avoid disclosing information to the wrong person. Rights requests normally have a one-month response period, subject to the legal rules on clarification, identity checks and extensions. We will explain any applicable restriction or extension.

22. Marketing communications and consent

Replies to your enquiry, lesson arrangements and necessary service messages are different from promotional marketing. Supplying a phone number or ticking a privacy acknowledgement does not by itself subscribe you to offers.

Electronic marketing to individuals requires valid consent unless a specific PECR exception applies and all its conditions are met. This includes relevant email, text and WhatsApp promotions. Consent must be a separate, clear choice where used. You can withdraw consent or object to direct marketing through our privacy contact; promotional messages should include a simple opt-out.

23. Contact us about privacy

For privacy questions, requests or complaints, contact:

Barka Driving School
Email: info@barkadrivingschool.co.uk
Telephone: +44 7300 364607
Website: Contact Us

Please say that your message concerns privacy and provide enough information for us to understand it. We will consider complaints and explain our response. You can request an appropriate postal contact without travelling to a private or registered address.

24. Complaints to the ICO

If you are concerned about how your information is handled, please contact us so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office (ICO).

Visit the ICO complaints page for the current process and contact options, or call 0303 123 1113. Raising a concern with Barka does not remove your right to complain to the ICO.

25. Changes to this Privacy Policy

This notice should be reviewed when the school’s services, forms, technology, providers or data practices change, and when relevant legal guidance changes. Significant changes affecting how your information is used should be brought to your attention where required.

Links to our booking page, Contact Us page and Terms and Conditions are provided for convenience. Terms do not replace this privacy information.
